Q: What is a guest list?

A: Your guest list is the place where all of your guests' details are stored, including their names, email address, household, physical mailing address, categorization tags and gift information. You can upload guests into your guest list from multiple sources, organize your guests by household, add additional information, and then download all your guest data whenever you need it.

You can also specify who on your guest list can view each Event and corresponding RSVP questions on your Glösite (website) as well as which guests will receive each Glövite you send.

Q: How do I import multiple guests from an Excel file?

  • Download this .CSV formatted file – the file has nine columns: Title, First Name, Last Name, E-Mail Address, Household, Address line 1, Address line 2, Address line 3, and Postcode

  • Add your guest's information by typing or cutting and pasting from another file
  • Save the spreadsheet. Be sure you save as a .CSV file. (In Excel, select "Save As..." from the File menu and change the File Format drop-down menu to ".CSV" or "Comma Delimited/Separated Values.")
  • In Glö, go to “Manage Guests”
  • Under Step 1, click on ‘add multiple guests’

Q: How do I import multiple guests from the Glö Google Docs template (recommended if you will be using non-English characters, e.g., á, ö, ñ, etc.)

Q: How do I import multiple guests from hotmail?

You will need to export your guests from hotmail and save as a .CSV file by following the steps below:

Export from Hotmail Using Internet Explorer, Mozilla or Firefox

  • Sign in to your Hotmail account
  • Click the 'Contacts' tab
  • Click 'Print view'
  • Align the cursor with the first letter of the 'Name' column
  • Highlight your contacts by holding down the cursor and dragging it down the list
  • Hold down the 'Control + c' keys to copy the list
  • Open Microsoft Excel (or a similar spreadsheet program that supports comma separated values)
  • Select cell A1 in Excel (the top square on the left side)
  • Hold down the 'Control + v' keys to paste (don't use 'Paste Special')
  • Choose 'Save as' from the 'File' menu, and select the type 'CSV (Comma delimited).' Make a note of where you saved the file

Export from Hotmail Live

  • Sign in to your Hotmail account
  • Click the Contacts list on the bottom left of the page
  • Click the Manage drop-down menu at the top of the Contacts list and select Export
  • On the page that appears, click the Export Contacts button
  • When you're prompted to open or save the file, click 'Save'
  • Select a location to save the file, and click Save

Import into Glö Guest list

  • In Glö, click on 'Manage Guests' in the navigation menu on the left, the select 'upload multiple guests' or 'import guests.'
  • Click
  • Select 'Other' and click next
  • Leave the File Type on 'Outlook (.csv)' then click 'Browse” and select the .csv file you just exported from hotmail
  • Contacts will load into the box. Select the individuals you would like to import into your guest list and click 'Next”
  • Click 'Load guests' below
  • Remove any guests you don't need then click 'Add guests'

Q: Can I export or download all of my guest data?

A: Yes – at any time:

  • Go to 'Manage Guests'
  • In the top right corner, click on 'Export guests to a file'
  • Save to your computer and open with a spreadsheet program like Excel

Q: How do I manage invitations for couples when I only have one email address for them?

A: Here is an example of how you would do this for the couple 'John and Sarah Smith' when you only have John's email address.

  • In 'Manage Guests', make sure that John Smith and Sarah Smith are added to your guest list. When you add John, include his email address and when you add Sarah, just leave hers blank.
  • Click show all at the bottom right of the page to show the list of all guests in your guest list.
  • Check boxes next to both John Smith and Sarah Smith.
  • From the drop down menu "other actions" select "assign selected to Household"
  • Name the Household the way you would address their paper invitation envelope, for example "Mr. & Mrs. John Smith" or "Sarah and John"
  • Click save
  • In Manage Events and RSVPs > Select guests, add both Sarah Smith and John Smith to any events they are invited to.

That's it! Any Glövites that John's receives will be addressed to both him and Sarah, and when John views your Glösite, he will be able to RSVP for Sarah. John can also send you Sarah's email address and you can add her email to her profile and then send her an invitation.

Why are my envelopes addressed to the individual guest instead of their household?

Q: How do I let single guests know that it's ok to bring someone with them (a +1), and give them the option to RSVP for their +1?

A: Here is an example of how you would add a +1 for your guest John Smith

  • In 'Manage Guests', add John Smith and assign him to a household called something like "John and Guest" or "Mr. John Smith and Guest"
  • Next, add John's guest in the 'add a new guest' section as follows:
    • First name: 'John's Guest' or “Guest of John'
    • Last name: leave blank
    • Email address: leave blank
    • Household name: choose the household name you have assigned to John (i.e., John & Guest)
    • Click add guest

That's it! Any Glövites that John's receives will be addressed to “John and Guest.” When John views your Glösite, he will be able to RSVP for his +1.

Why are my envelopes addressed to the individual guest instead of their household?

Q: What are households? How should I name households?

'Households' link individual guests together, typically couples or families, whom you would traditionally include on one invitation. Households serve two purposes:

  1. Salutation on Glövite envelopes
  2. Smart RSVPs -- on your Glösite, members of a Household will be able to view and edit one another's RSVP answers

How should I name households?

Name your households the same way you would write the salutation on their paper invitations. Traditionally, the household salutation indicates exactly who is invited to your celebration, for example:

Children invited?

If children are invited: Mr. & Mrs. John Smith, Sarah and Alexis, or Mr. John Smith and Family, or The Smith Family
If children are not invited: Mr. & Mrs. John Smith

Allowed to bring a guest?

Allowed to bring a guest: 'Mr. John Smith and Guest'
Not allowed to bring a guest: Mr. John Smith

You can also decide to make the salutation more or less formal:
More formal: Ms. Jane Smith & Mr. John Smith or Mr. & Mrs. John Smith
Less formal: Jane and John

Q: How do I add individual or multiple guests to a household?

A: To assign guests to a household there are a few approaches.

Individual guest who is not yet added to you Guest list

  • In 'Manage Guest' add a new individual guest, entering the guest's first, last name and email address in the appropriate boxes
  • Enter a new "household name" in the appropriate box or choose from the list of previously assigned household names in the drop down list to the right
  • Click "add guest"

Individual guest who is already in your guest list

  • You can follow the steps above OR
  • In 'manage guests' click 'edit' to the right of the individual you would like to assign to a household
  • Enter a new 'household name' in the appropriate box or choose from the list of previously assigned household names in the drop down list below
  • Scroll to the bottom and click "Update guest"

Multiple guests who are already in my guest list

  • In 'manage guests', select 'see all' in the lower right corner
  • Find the individuals you would like to add to the same household and click the boxes to the left of each
  • In the "other actions" drop down box, choose "assign to household"
  • Type the name of the household and click "Assign guests"

Q: How do I enter guest information into a .csv file, including a guest +1, a family, and a couple?

It is easy to enter a guest and their +1, a family, or a couple using a .csv file.
